Event Milestones
Outlines mutually agreed upon key dates and deliverables for the event throughout the various planning phases. Based on event date, matrix creates milestone dates. These dates are flexible based on specific client needs and already established internal timelines.
Task List Timeline
Outlines various tasks in each event category. When “due date” is entered for the task, the right-hand matrix updates to show “in progress,” “upcoming,” or “past due” for the task based on the date at the top. Once task status is moved to “complete” right-hand matrix clears out. The timeline helps keep large scale projects on task and keep a detailed account of what is upcoming and who is assigned to each task.

Project Update
The Project Update is a great option for clients that need to share updates with other stakeholders in their business. This document gives a quick, up-to-date status of each major event item. Project Updates are provided at a cadence mutually agreed upon with the client and usually coincide with cadence of check-in meetings (weekly, bi-weekly, month, etc.).
Planning Document
A Planning Document is typically a shared Google Sheet or OneDrive Excel document with multiple tabs that allows instantaneous collaboration. The Planning Document lives as the working document that houses all event related details and is continuously, in real-time updated. Should a client need a tent comparison, catering comparison, multi-venue estimate – this document would house specific tabs for all these items and more.

Speaker Information Form
Speaker Information Form is typically a Google Form or OneDrive Form that is sent to speakers once they accept the speaking engagement. The form collects their professional information, travel details, video consent, etc. Not all events will need to utilize a Speaker Information Form because of a minimal number of speakers, or no speaker materials are needs.
Site Map
A Site Map reflects the layout plan for the event. This can be crated by ALE for outdoor events. Typically for indoor events, the venue will send the room layout.

Event Specifications Guide
An Event Specifications Guide (ESG) is the onsite document with all event details and includes safety & security plans. This document could be opened by anyone onsite and easily followed without direction. The Planning Document also includes most of the information from the ESG, thus not all events will require an additional ESG document. This is an example of typical ESG contents. A complete example of an ESG is available upon request.
Post Event Report
Post Event Report (PER), is provided after the event and compiles the event information into one succinct report that can be used to track year-over-year event changes. This report is custom for each event and pending the information collected during registration and at the event can have different graphics to represent the data. Additionally, the PER is usually coupled with post-event survey data. A complete example of a PER is available upon request.
